Course Selection Procedures

Course enrolment  is scheduled for August (Sem 1) and December (Sem 2) of the academic year respectively.  Students can enrol in the Graduate School compulsory courses and/or faculty/school/departmental courses in Semester 1 and/or Semester 2.

The Course Enrolment Period for Semester 1 is from August 12, 2022 to August 23, 2022.  Priority though will be given to (i) part-time students as the choice of evening courses are very limited and the total number of our part-time students is small; (ii) all MPhil and 4-year PhD students who are in the last semester of their probation as they must complete all Graduate School courses and 50% of the faculty/school/departmental course requirement by the end of their probation to be eligible for confirmation of candidature; and (iii) students of the HKU-SUSTech PhD Programme.  All other students will enrol in courses starting from August 16, 2022.  Details of the Course Enrolment Period is as follows:

Students are allowed to do enrolment in the Student Information System (SIS) anytime during the above said period. The on-line course enrolment system can be accessed using any computers connected to the world-wide-web. Within the campus, students may make use of computers in the computer laboratories managed by the Information Technology Services.  To access the system, please login to HKU Portal > Student Information System > SIS Menu > Enrollment > Enrollment Add Classes.  A User Guide on “Course Enrollment for RPg Students in SIS” is available here for students to download.

Course enrolment is done on-line via the HKU Portal on a first-come-first-served basis.  Students are advised to check if their accounts are working properly before the course enrolment period.  If they encounter any technical problems, they can seek help from the ITS Service Desk (tel: 3917 0123; email: ithelp@hku.hk; or click the live chat button at http://www.its.hku.hk/service-desk). 

Before the Course Enrolment Period begins, there will be a Course Preview Period starting from August 8, 2022 (9:00 a.m.) to August 11, 2022.  During this period, students can login to the system and preview the courses there but they are NOT able to enrol.  Students may want to try out the system during the Course Preview Period so as to ensure they can use it before the actual course enrolment takes place.

It is advisable that students consult Supervisors on their course selection.  Students should enrol in courses following their Departmental/Faculty requirements and the advice of their Supervisors/Departmental Research Postgraduate Committees.  If students have not followed the coursework requirements and there is subsequent disapproval on the part of Supervisor/Department/Faculty, students will be asked to rectify the enrolment by adding/dropping the course(s) concerned.

During the course selection/enrolment period, your selections of Graduate School courses will be time-stamped. Graduate School course selections will be approved on a first-come-first-served basis. Course approval will take place on a regular basis. If your course selection status remains pending approval for over 2 days, it means your selected class is full and you are advised to make changes to your Graduate School course selection accordingly. At the end of the course selection/enrolment period, all classes will be closed for selection and all pending enrollment requests for the classes that are already full will be disapproved automatically.

Students may change their course selection, if needed, during the add-drop period. New students who arrive after the Course Enrolment Period may also make use of this period to do course enrolment on-line. The on-line add-drop period is as follows:

Students who need to change their course selection  and/or apply for new course(s) after the On-line Add-drop Period should submit their requests by filling in the paper form(s), "Form GS2" for Graduate School courses and "Form Faculty" for Faculty/Departmental courses.  The forms can be downloaded from the Graduate School homepage.  Endorsement from Supervisor and Chairperson of the Departmental Research Postgraduate Committee is required on the form.

The completed form(s) should reach the Graduate School Office or the student’s home Faculty Office accordingly. Requests for adding 4-week course(s) should be submitted no later than the first week of the course(s). 

Note that all GRSC modules (except module 6) are in the format of one-off class session of 2 or 3 hours; absence from the enrolled class session will render the result of “NC” (NOT COMPLETE) on the transcript, and those enrolled students are required to re-take the module in the following semester. Should students perceive that they will not be able to attend the enrolled class session, they should drop the module before [NOT after] the class is held.
